RENTAL TERMS AND CONDITIONS AND OPERATIONAL NOTES (Bikes, Canoes, and Sports Equipment)

Pick-up Time and Delays: On the day of the rental, customers must arrive at the center at the scheduled booking time to complete administrative procedures, adjust the equipment (e.g., saddle height), and receive safety gear. In the event of a delay by the customer, the organization cannot guarantee equipment availability for the full duration booked, and the rental period will still terminate at the originally scheduled time. The customer will not be entitled to any refund or rescheduling.

Cancellation Before Pick-up: The organization reserves the right to cancel the rental, at its sole discretion and at any time before delivery, due to reasons related to force majeure, lack of safety, or adverse weather conditions that make the use of the equipment dangerous (e.g., weather alerts, flooded rivers for canoes, impassable trails for bikes). In such cases, the customer shall be entitled exclusively to reschedule the rental to another date or to a full refund of the amount paid, with no right to claim any compensation for extra expenses.

Suspension or Interruption on Site (Sudden Weather Changes): Should sudden changes in weather-environmental conditions or hazardous situations arise after the equipment has already been picked up, the organization has the right to order the immediate return of the material for safety reasons. Such forced interruptions are aimed at ensuring maximum customer safety, do not constitute a breach of contract, and do not entitle the customer to full or partial refunds of the rental fee.

Ordinary Inclement Weather: The rental is guaranteed and the equipment will be made available even in the event of rain or ordinary inclement weather, subject to the different safety assessments described in the previous points. Spontaneous cancellation or non-use by the customer due to rain does not entitle them to any refund.

Online Check-in and Assumption of Liability: Equipment rental is permitted exclusively upon completion of the mandatory online check-in. By signing the rental agreement (during check-in or upon pick-up), the customer declares to be fully fit to use the vehicle or equipment requested, to be familiar with its operation, and to assume full civil and criminal liability for any damage caused to themselves, third parties, or property during the use of the rented equipment.

Equipment Condition, Damage, and Theft: The equipment is delivered clean, efficient, and in perfect working order. The customer is required to verify its condition upon delivery. From the moment of pick-up until return, the customer becomes the sole custodian of the equipment. In the event of material damage, impact breakage, negligence, loss, or theft of the vehicle/equipment, the customer will be required to immediately compensate Ursus Adventures for the total cost of repair or replacement, calculated on the basis of the official spare parts price list in force.

Mandatory Return and Late Fees: The equipment must be returned no later than the time established in the booking voucher. Should the customer delay the return for reasons not attributable to force majeure, the organization will apply a penalty fee calculated on the standard hourly rate for each fraction of an hour of delay, without prejudice to compensation for any further damages resulting from the unavailability of the equipment for subsequent bookings.
